Her business helps organisations in the arts, cultural, education and creative industries, and others who work with these themes. Most of their work comes from funds which must be used for public benefit. Sally helps such organisations improve, so their public benefit grows. Sally is a one-woman business, responsible for the control of the data collected for these purposes, and processing data for organisations she works with.
When and why data is collected
How information is stored and used
Data is stored digitally, on the cloud; or on paper in a secure business office. Full details of which providers are used for Cloud storage are given in Sally’s full Data Protection Policy. All digital storage providers include password protected access, and most also encrypt the data. Sally may be contractually obliged to share data with the organisations employing her, partners of activities concerned, or the funders of such activity. You can always choose to be removed from shared data, and / or have your data recorded anonymously. Companies processing or storing this data are within the European Union and follow the same data protection laws as the UK; or are elsewhere but follow European Union approved and certified practice. No third parties can access your personal data unless the law allows it.

All digital data is password protected and stored on encrypted devices or servers (i.e. only someone with the correct encryption login details can read the data). Up to date security is used on all devices such as phones, laptops, PCs or tablets. Third-party providers are only used if they are also GDPR compliant (i.e. follow the same laws to protect your data) and can be assured to look after your data safely. This can include companies like Survey Monkey, who design survey software; or EventBrite, who might take information when you book a place on an event. Data on paper is kept in a secure office.
How long information will be kept for and how it is disposed of
Digital data Sally holds is deleted 12 months after a contract ends (i.e. 12 months past the official end of the project) unless there is a legal obligation to store it for longer. Paper data is shredded before disposal, also 12 months after the official end of a project or contract.
What your rights are
If you believe the information stored is incorrect you can request to see it and have it corrected or deleted. You can contact Sally as below if you want to complain about how your data has been handled. If you are not satisfied with the response or believe your personal data is not being used in accordance with the law you can complain to the Information Commissioner’s Office https://ico.org.uk/

- GENERAL PUBLIC: Data is collected from people who use the organisations Sally works with, such as what kinds of people take part (ages, postcodes, ethnicities for example) and what activities they joined in, enjoyed, learned or what could be improved. This is to understand how effective the activities and access of organisations Sally works with are. This can be collected in online surveys, paper surveys, face to face or telephone interviews, creative consultation (e.g. making artwork or playing games). You will always be asked for your permission to collect and use the information in this way, at the time it is gathered. Organisations Sally works with may also provide this information to Sally from their own records. They will follow the same legal respect for / treatment of your privacy. For the same reasons, information is collected in ways you may not be aware of, but which are reasonable to do this work, and have minimum impact on your privacy. This happens by observations, such as watching how people move round an art gallery, or through social media searches using hashtags or keywords to find posts people put in the public domain. Anonymous data is also collected from visitors to Sally’s website, by the web provider Weebly, and also Google Analytics, to understand how the website is working.
- ORGANISATIONS & STAFF: Organisational details such as the legal name and details of a company, and the names / contact details of staff may be shared with Sally. Sometimes this also includes company documents like funding applications, business plans, budgets, and meeting minutes. This is to help understand what organisations are trying to achieve, and some of the resources that help / barriers that hinder them in achieving this.
- NECESSITY: Only data that is actually needed and used is collected. Data is never used as mailing lists or for promotional purposes, nor will it be shared with others for those purposes.
